JOB DESCRIPTION – APRIL 2019

Summary Statement: 
The Center Community Assistant (CCA) works to advance Gibney and the Center Intern/Center Fellow program as part of a coordinated team. The CCA reports jointly to the Center Community Manager (CCM) and the Director of Operations & Facilities (DO).

RESPONSIBILITIES OVERVIEW
Gibney strives to be the premiere creative hub for the dance community. The CCA takes a leadership role to ensure the impeccable management and operation of the Center.

CUSTOMER CARE
• Greet guests at the Center in a warm, enthusiastic, and helpful manner
• Be aware at all times of what is happening in the studios
• Process transactions in MindBody
• Respond to phone and in-person requests and inquiries
• Work as a team with the Center Interns/Fellows to provide outstanding customer service • Clearly communicate and enforce studio rules and rental policies: be firm but fair
• Provide answers for anticipated questions for customers and visitors
• Be responsive and proactive in meeting customer’s needs
• Accommodate the creative needs of clients through operational solutions that safeguard and protect the space

ASSIST WITH THE OVERSIGHT OF THE CENTER INTERNS AND CENTER FELLOWS 
• Assist the DO and CCM in the day-to-day management of Center Interns
• Serve as a liaison between CI/CFs and staff
• Be knowledgeable of all policies and protocol at both Centers
• Assist with workflow and client processing
• Supervise CI/CF to reduce errors, clarify procedures and assist with preventative
interventions
• Inform CI/CF of organizational policy updates
• Assist in interviewing prospective interns
• Lead incoming Interns in Salesforce and 890 Nightly Operations training • Assist in tracking Work Study shifts and assign necessary class credits

FACILITIES MANAGEMENT AND GENERAL ADMINISTRAION
  • Assist the Director of Operations, Senior Training Managers, and Rentals Manager in maintaining the smooth operation of the Center
  • Help to enforce policies and practices that ensure the highest levels of safety, cleanliness, and order in the Center
  • Assist with the facility operations and maintenance 
  • Implement maintenance of checklists 
  • Ensure standard inventory of products, equipment and supplies 
  • Conduct rounds and routines at specified intervals 
  • Respond to phone or in-persons space rental requests 
  • Manage data entry 
  • Process Rental and Class bookings and payments 
  • Complete daily administrative tasks

OTHER QUALIFICATIONS
• Associate's or bachelor's degree in a related field
• One or more years of related experience, preferably with arts organizations
• Knowledge of, and strong interest in, the performing arts, social justice, and Gibney’s
mission
• Superior verbal and written communications skills 
• Strong attention to detail
• Ability to work independently within a team environment
• Excellent interpersonal skills and professional demeanor
• Ability to work in a fast-paced environment
• Proficiency in Microsoft Office and database management experienceֿ (Salesforce/PatronManager preferred).
